Importance of Maintaining Documentation for a Process

Everybody is running fast in today’s tech-savvy world. Daily we set out to our work with some targets in mind and hope to achieve all of them before coming back home. But, in the process of living a fast life, we forget an important factor which is essential for climbing the stairs of success. That factor is ‘Documentation.’ Now you might think that nothing as important is there in the documentation that it can be directly related to success.

It doesn’t matter in which field you are working; documentation is important everywhere. Right from being an integral part of PCB manufacturing process reviews; documentation is vital for a lower grade clerk as well. Following points highlight the importance of documentation in a person’s area of work:

Do things the efficient way.

You won’t remember the method of doing a process if you come to it after a few days gap. You will be requiring somebody’s help again to re-tell you the process again. You won’t even have the same level of efficiency of doing the process as you had earlier. Yes! You guessed it right. If you want to do a process in the most efficient manner, any time you do it, then you better write down the steps for it and refer the same document whenever you are required to re-run the process again.

Puts an end to any kind of doubts regarding the process.

Obviously, there will be multiple persons working on the same process. If there is no documentation for the process then persons can be confused regarding the best practices to be followed for performing the task. But if there is a document for the same process, one can have a look and get their queries, regarding the process, resolved. The documentation is always available, whenever anybody wants to run any sort of Analyzation in the process.

Reduction in training time and cost.

It is quite obvious that if a new employee joins the organization he/ she needs to be trained. Now if you don’t have proper documentation for the processes running in your company then it would be very tough to train new employees and will involve more time and cost. But with proper documentation, the trainee can himself go through the process once he/ she is told the basics.
Ultimately the overall cost and time reduce. This, in turn, plays an important part, even in the company’s profit and you make more money.

Generates a good reputation for your organization.

Documentation plays a vital role in displaying your organization's professionalism and commitment towards the client’s requirements.
Also, with proper documentation, the client can easily understand the kind of service he/ she is buying. Good documentation and great communication go hand-in-hand and ensure success for your organization. Also while hiring new persons; the prospective employee will get a definite idea of your commitment towards providing your staff the best of assets for performing their role in an efficient manner.
