The Problem

The current process for tracking visitors in a workplace or healthcare is time time-consuming, prone to errors, and does not provide adequate security measures. This leads to potential security threats, compliance issues, and a poor visitor experience. The organization requires a solution that automates visitor tracking, verify identities, check watchlisted identities and maintained a secured and auditable record of all the visitor's activities while improving the overall visitor experiences.

Understanding The Problem

Building 5W’s (Who, What, When, Where, & Why) questions concerning the problem statement were framed. These questions helped a lot in doing the research.

- Who manages visitors? (To find out who is responsible for handling visitors exactly)
- Who visits offices or organizations? (To find out what kind of visitors come to visit offices)
- What kind of purposes do visitors have? ( To find out the purpose can help to categorize them in a certain way)
- What problems do receptionists and visitors face during visits? (Looking for pain points that help to ideate solutions)
- When visitors mainly visit offices? (Finding out the time when visitors prefer to visit)
- Where do visitors and hosts solve issues regarding the visits? (Looking for communication gap between both)

- How might we help the receptionist to maintain the check-in/out process?
- How might we help employees to invite visitors?
- How might we help employees and visitors to communicate better in real-time?
- How might we help to understand data analysis?
- How might we make to accept/reject a new visit?
- How might we help visitors easily check and not keep waiting?
- How might we remind employees & visitors about their upcoming visit?
- How might we help the receptionist recognize a watchlisted visitor?
- How might we help to secure offices & restrict visitor's movement?


Prototypes & Visual Design

Created several prototypes to test the core functionality of the Visitor Management application & gathered feedback from potential users. Made several iterations based on the feedback received from potential users to improved the overall user experience.


Usability Testing

Conducted internal usability testing at the end of the stage to ensure that the application was user-friendly & whether the user was able to understand the main purpose of the application.

Observation

- Users were able to navigate through various screens effortlessly.
- All the intended actions were performed with almost no miss clicks.
- Users were able to easily understand the task flow of the app without assistance.
