In December 2023, the University of Applied Sciences identified usability challenges within the existing University Management System (UMS). Although a critical tool for students, faculty, and administrative staff, the UMS was causing frustration and inefficiency among users. To address this problem, a project was launched to enhance the user interface/user experience of the UMS system, with the aim of improving user satisfaction and overall efficiency and also solving the problem of community service points to save community service data instead of collecting it through the student or supervisor.

Objectives:

• Identify pain points and usability issues within the existing UMS.
• Enhance the UI/UX design to create a more intuitive and user-friendly experience.
• Streamline key functionalities such as course registration, grade management, and academic planning.
• Improve overall user satisfaction and efficiency in utilizing the UMS.

To tackle the challenge of inadequately recorded community service points, a comprehensive data-saving mechanism was conceptualized and integrated into the UMS framework. This entailed the development of robust storage and retrieval functionalities, ensuring the secure preservation and accessibility of community service data. Additionally, user-friendly interfaces were crafted to facilitate seamless input and management of community service records, thereby fortifying the system's reliability and user satisfaction.

Visit the websites and apps of your competitors. Pay attention to their user interface (UI) and user experience (UX) design, navigation, layout, color schemes, typography, imagery, and overall aesthetic appeal. Note down what you like and dislike about each interface.
Assess Functionality and Features: 

Explore the functionalities and features offered by each competitor's platform. Look for features related to community service points tracking, user profiles, service opportunities discovery, communication channels, gamification elements, etc.
User Experience Journey:

 Map out the user journey on each competitor's platform. Identify the key touchpoints, actions required to accomplish tasks, and any pain points users might encounter during their interaction with the platform.
Competitive Positioning: 

Analyze how competitors position themselves in the market. Are they focusing on specific demographics or offering unique value propositions? Understanding their positioning can help you differentiate your platform effectively.

The prestigious university is currently in the process of developing an expansive online platform tailored to streamline university services and foster community service endeavors. This initiative is designed to furnish students, faculty, staff, and members of the community with seamless access to a diverse array of university resources and avenues for community engagement. As an institution dedicated to fostering inclusivity and ensuring equitable access to information and services, the university is steadfast in its commitment to ensuring that this platform is fully accessible to all users, including those with disabilities. This dedication underscores our unwavering pursuit of inclusivity and the promotion of equal opportunities for all individuals within our university community.

Usability Testing Results
The redesigned University Management System (UMS) underwent rigorous usability testing sessions wherein representative users were tasked with specific assignments to assess its effectiveness. Through meticulous observation and recording of participants' interactions with the system, comprehensive feedback was garnered to meticulously identify any prevailing usability concerns and delineate areas necessitating refinement. This methodical approach to usability testing has provided invaluable insights into enhancing the UMS, ensuring its optimal functionality and user experience in alignment with our commitment to excellence in service provision.
Results:

Improved User Satisfaction:

The enhanced UI/UX design received positive feedback from users, resulting in increased satisfaction with the UMS.

Enhanced Efficiency:

Streamlined workflows and intuitive navigation improved efficiency in performing tasks such as course registration and grade management.
Reduced Frustration: By addressing usability challenges and incorporating user-centered design principles, frustration among users decreased significantly.
Positive Impact on Stakeholders: Faculty, students, and administrative staff reported a smoother and more enjoyable experience while using the UMS, leading to improved productivity and engagement.

Conclusion:

The UI/UX enhancement project for the University Management System at ABC University successfully addressed usability challenges, resulting in a more intuitive, user-friendly, and efficient platform. By prioritizing user feedback and incorporating best practices in UI/UX design, the enhanced UMS has positively impacted user satisfaction and overall productivity within the university community. Ongoing monitoring and iterative improvements will continue to ensure that the UMS meets the evolving needs of its users
