Kitt Meeting Room Feature

This was a task submission

Project Overview: To design a meeting room booking flow for in-app use that has utility and ease of use to increase conversion rates of bookings and reduce cancellations later on.

Goals:
-  Room availability to be clear to users
-  Making it simpler to edit meetings in duration
-  Increased visibility of what the meeting is for to help office managers coordinate multiple bookings

The Problem
Kitt strives to make their tenants lives hassle-free and create an office experience worth leaving home for. The problem they faced with their mobile app was the room bookings feature. From their recent user feedback, they understand that the UX of this flow should be improved, such as making room availability clearer to users, easier to edit meetings in duration and increased visibility of what the meetings are for.

Design Solution
I approached this problem wanting to make a seamless and well thought out user flow that considers all users pathways. I focused specifically on the room booking feature interfaces and thought about my personal experience when booking something online such as a restaurant reservation, flights, studio time and online meetings with colleagues. Here were some of my key take ways during my research process:

- Well structured navigation
- Online bookings tend to ask for the date and time first
- Option to add confirmed booking to my personal calendar (e.g. iCalendar)
During the design process, a challenge I faced was deciding what would be the first interface the user will be presented when they want to make a room booking. I had to consider all sorts of pathways the user may come from such as when they first open the mobile app and dashboard. I also had two ideas of what the first interface would immediately ask the user:

1. To choose a date and time via a calendar (which can also showcase other meetings they or colleagues may have booked)
2. To ask the user for all the information at once (date, time, room type, title) and then click 'search availability'

I opted for the first option as it would be clearer to users of what sort of room will be available on that date and time chosen, and can prevent user frustration by limiting the amount of information to input on the first page. This option also presents a seamless flow for the user, and gathered this from my initial research.

There were a few things I wanted to prioritise in the design which were:

- Room availability
- Amenities available in the room
- Capacity of people in the room
- Status of availability (Available / Unavailable)
- Location of room and preview of the room design
- Overview of booking (to allow editing / cancellation)
- Notification / Reminder on users' dashboard and option to add to users' personal calendar on their device
- Title and description options (to give context of the meeting to all participants)
